The World Federation of Hemophilia (WFH) and La Federación Española de Hemofilia (Fedhemo) are excited to welcome the global bleeding disorders community to the WFH 2024 World Congress in Madrid, Spain from April 21 to 24.

ACCOMMODATIONS

We understand that finding suitable accommodation for the event is important for your comfort and convenience. While the official housing bureau is closed, we’re pleased to offer an alternative solution to assist you in securing accommodations for your stay in Madrid.

Official WFH hotel booking website

The easiest and most secure way to complete your reservation is through our online reservation system. Please note that only payments by credit cards (Visa or MasterCard) are accepted online. The hotels will be available until March 22, 2024 (or until the hotel blocks are sold out). After March 22, 2024, hotel rooms are subject to availability and rates cannot be guaranteed. Please send an email to [email protected] to check availability after March 22, 2024.

A group reservation consists of ten or more rooms. One contact person should be designated to act as the group coordinator and be responsible for all correspondence with the WFH Housing Manager.

If you wish to book ten rooms or more, please check the hotel list for your preferred hotel, download and fill out the Group Hotel Request Form, specifying the number of rooms required per day, and return it by e-mail to [email protected]. Please do not send it directly to the hotel.

The WFH Housing Bureau will reply to your request within three (3) working days. Please note that hotel blocks are assigned on a first-come, first-served basis.

The required deposit may be made by credit card (Visa or Mastercard) or wire transfer. From March 1, 2024, only payments by credit card will be accepted. Any inquiries or requests for additional information, modifications or cancellations to room reservations should be addressed to the WFH Housing Bureau in writing. Please do not contact the hotel directly.

    1. Credit card payment: The WFH Housing Bureau will charge your credit card with a deposit equal to one (1) night of your entire accommodation. This deposit is non-refundable. Fifty (50) days prior to the event (March 1, 2024), you will be charged the balance of your full stay. Room reservations will be confirmed once the WFH Housing Bureau has received your completed reservation request with a valid credit card number.
    2. Wire transfer: If you are unable to provide a credit card guarantee (by Visa or Mastercard), please complete the reservation using the online booking tool, and select wire transfer as the method of payment. You will be invoiced for a deposit equal to one hundred per cent (100%) of your total accommodation cost, in USD. Your hotel reservation will not be confirmed unless full payment is received within seven (7) business days upon receipt of your invoice. Please do not process a wire transfer until you receive your invoice. You can see our USD account information, here.

A hotel confirmation email will be sent within 48 hours of receipt of your reservation request. The confirmation will include the name and address of the hotel and the cost per night. Please do not contact the hotel directly as all reservations will be handled by the WFH Housing Bureau.

Any change or cancellation of your registration must be sent in writing to [email protected]. A confirmation of the reservation change or cancellation will be forwarded to you. All requests are subject to the following conditions:

  • No name changes are permitted
  • If your reservation is 100% prepaid, the cancellation requests must be received on or before March 1, 2024
  • A refund will be issued less an administrative fee equal to one night’s accommodation
  • For cancellations received after March 1, 2024, no refunds will be granted
  • If you paid the 1-night deposit only your deposit is non-refundable
  • Should you need to check out earlier than planned, no refunds will be granted
  • All refunds (if applicable) will be processed within 30 days after the end of the event

We ask that all attendees register and book their hotel room at the same time through the online registration link. This will ensure that your event registration is linked to your hotel reservation. It will also ensure that you receive the best negotiated rate for your room. TREATMENT ROOM

A treatment room will be available for all participants at the WFH 2024 World Congress. For details on the medical treatment in Spain, bringing your own factor, the Congress treatment room, and more, see below.

When planning your trip to Spain for the WFH 2024 World Congress, we encourage you to take the following into account.

  • Free medical treatment is generally not available to foreign visitors to Spain
  • It is recommended that you purchase personal travel insurance for your visit to Spain to cover emergency medical treatment and health care in the case of any other illness or accident that might occur, even if you cannot be insured for your pre-existing medical condition(s)
  • In general, you should bring enough clotting treatment for hemophilia with you for your entire stay
  • If you are travelling to different parts of Spain before or after the WFH 2024 World Congress, note that clotting factor product for an emergency may be limited to larger hospitals. The host NMO, The Federación Española de Hemofilia (Fedhemo) website provides a list of hemophilia treatment centres in Spain (click here to find out more).
  • A treatment room, stocked with donated clotting treatment, will be available during Congress

You may bring a supply of prescribed medications into Spain for your personal use without a permit, provided they are commercially prepared and manufactured. This includes your regular prescribed medicines and clotting factor products.

Helpful hints for all medicines and clotting factor products

  • Keep the medicine in its original packaging with the product labelling visible
  • Make sure you bring a letter written in English, from your doctor explaining that you require these medicines and/or clotting factor concentrates for your medical condition and that you have been prescribed a less than three-month supply to bring to Spain with you. Your doctor’s letter should indicate if you need to carry needles or syringes in addition to administration devices supplied by the manufacturer. For a letter template, click here.
  • Declare your medicines to Spanish customs and provide the letter from your doctor
  • It is advised that you carry your medicines in your carry-on baggage, not in checked baggage
  • It is your responsibility to store your medicines and clotting factor in packaging that meets manufacturers’ advice for temperature control, and to check with your airline that your cold store packaging meets all security requirements

A bleeding disorders treatment room will be set up for the duration of Congress in the North Convention Centre (NCC), on Level 2, in the Colón meeting room, close to the plenary room and all session rooms. Specialized physicians and nurses will be available to assess emergency and semi-urgent situations related to your bleeding disorder and to assist with infusions. Physiotherapists will be available in the same location at designated times, from April 20 to 25, to support patients who are having an acute or sub-acute bleeding episode. Volunteers will assist delegates to get to the treatment room from a treatment room desk in the foyer outside the exhibition hall. A limited number of scooters, wheelchairs, crutches, and walkers are available upon request.

Registration and housing must be done simultaneously by using the online registration link. A one-night deposit will be charged to confirm the hotel reservation. This deposit can be made by credit card (Visa or Mastercard) or bank transfer. Should you need to cancel, there is a 1-night penalty if cancelled. Please send an email to [email protected] for hotel bookings of 10 rooms or more.

What happens if the WFH 2024 Congress is cancelled?
A

Your room reservation is 100% refundable in case the Congress is cancelled due to COVID-19 or another unavoidable circumstance. This is only applicable for room reservations directly made via the WFH Housing Bureau. If you have booked your room via another agent or platform, this cancellation policy will not apply.

SHUTTLE SERVICE

The WFH will be providing a shuttle service between the official WFH hotels and the IFEMA Convention Center on Congress days (April 21 to 24). Shuttles will travel between the Meliá Castilla, Hotel H10, and RIU Plaza España. Shuttles will depart approximately every thirty minutes and will loop continuously throughout the morning and late afternoon. WFH 2024 Congress signs will be posted at all boarding sites identifying the location as a WFH Shuttle pick-up and drop-off site.

metro

Metro line 8 (pink) allows you to travel from the four airport terminals to the city centre (Nuevos Ministerios station) in less than half an hour.


bus

Line 200, which runs from 6:00 a.m. to 11:30 p.m. and passes through all terminals, will take you to Avenida América station in half an hour for €1.50. From this station you can connect with other metro lines.


train

The fastest way to get from Madrid airport to the city centre is to take the C1 train, which costs €2.60, plus half a euro for the travel card.

The high-speed trains (AVE) arrive at Madrid’s Atocha and Chamartín stations from many cities in Spain and Europe. For further information consult the following resources:

Before planning your trip to Madrid, make sure you have all the appropriate travel documents. Note that the passport you hold determines whether you need a visa to travel to Madrid.

Spain is a signatory of the Schengen Agreement, so visitors from any of the Schengen member states enjoy free movement and there is no border control. If this is not your case, just apply for a tourist visa at the Spanish Embassy in your country of residence. Visit Madrid’s visa information site for more details.
